The Role
Bluefire Consulting are recruiting for an experienced Office Administrator to act as first point of contact for staff across different departments to coordinate administrative tasks for the company. Based in West Sussex, main duties will involve:
* Providing support to sales, operations and marketing with administration support
* Scanning and uploading project documents to Netsuite
* Sending out appropriate literature via email or post and issuing bulk emailers
* Preparing survey and after sales packs and issue handwritten notes to potential customers
* Data entry for client information and ensuring customer files are updated on behalf of Project Managers and After Sales Manager
* Collating enquiry statistics, web hit information and managing the media library for marketing purposes
* Handling all post/parcels (incoming and outgoing) including packing, arranging couriers and storage
* Greeting guests on arrival to the office and offering refreshments at meetings
* Taking and issuing minutes from company staff meetings
* Ordering stationery for office and all staff home offices
* Maintain knowledge base within NetSuite
* Contact point for general IT and Telephone support

The Candidate
Proven experience within an administrative support role is essential. The successful candidate will ideally have experience of dealing with "high end" clients or luxury products and be able to demonstrate a professional and positive attitude. An ability to handle difficult calls or emails and close attention to detail will be required. Excellent communication details, both verbal and written, is a pre-requisite.

The client is a well-established organisation that offers a very high-end luxury service to high end customers. The ability to deal with people at all levels is essential. Owing to expansion and development of their current team they are looking to take on an extra person within their close knit team.
