Customer Services Co-ordinator (Pharmaceutical Services)

Location:Greenford + Hayes
Salary: £16,000 - £20,000 (Dependant on experience)


Main purpose of this job:

We are looking for a Customer Services Co-ordinator to co-ordinate the admin for the team and will be trained up into the job. We want an outgoing individual with a spark to join our team. You won't be expected to cover everything in the full Job Description straight away - this will be learnt further along as you become more experienced within the role.

You will need to be a good administrator, confident using a PC, have a meticulous eye for detail and good previous office experience.

Skills and Knowledge:

Essential:

*Computer literacy including use of Microsoft Word, Excel and Outlook.
*Proven excellent administration skills.
*Customer focussed (internal and external).
*Excellent verbal and written communication skills including good telephone manner.
*Attention to detail.
*Ability to work under minimal supervision and as part of a team.

Desirable:

*Good keyboard skills
*Ability to read and verbally communicate any European or other languages
*Experience in liaising with Healthcare professionals e.g. GP's, nurses, pharmacists.

Experience Needed:

*Experience in an administrative role.

Job Description: -

Administration Duties:

*To be an integral part of the 'Pharmaceutical Services Customer Service' team and provide support for all relevant functions.
*To provide support for the Department by performing administrative duties for all members of the team.
*To take responsibility for communication and reporting in regard to all relevant distribution agreements.
*To ensure accurate records are kept of enquiries from the customers.
*To maintain/keep records of various departmental activity logs.
*To assist in the booking arrangements for stand exhibitions to promote Unlicensed/Named patient products importation service, if required.
*To assist in sourcing, pharmaceutical products and liaise with the manufacturers and suppliers as directed.
*To be responsible for executing daily orders and invoicing for Pharmaceutical Services
*To be responsible for raising invoices for the above services provided.
*To provide support for the department by actively supporting other team members with technical/sourcing help for PS tender work.
*To provide a Sales Analysis report to the PS Manager, as and when required.
*To request stock movements into quarantine, where necessary.

MHRA:

*To liaise with the MHRA for imports permission under guidance and maintain effective and accurate filing for all correspondence.
*Provide support for segregation of MHRA notifications and acknowledgements
*To update and maintain new database with all relevant MHRA information related to PS procurement.
*To ensure 'technical' staff are aware of permissions levels.

Technical:

*To ensure accurate record keeping of enquiries from the customers, mainly healthcare professionals (GPs, Hospital staff, retail pharmacists and dentists) manufacturers and members of public.
*To liaise with manufacturers/suppliers in the UK as well as abroad to obtain technical information as directed by the Pharmaceutical Services Manager.
*To provide sourcing support for the department and liaise with manufacturers and suppliers to order the products.
*To provide support by performing product 'Tech Checks' as per the departmental / Company procedure

Marketing:

*To support the Pharmaceutical Services Manager to promote unlicensed/named patient services by helping with mail shots etc.
*To attend exhibition/conferences for stand duty when requested. Some exhibitions/conferences will involve weekend work and travelling within UK or abroad. All expenses for necessary travel would be reimbursed by the Company.

Other Duties:

*To be responsible for raising PS Purchase orders as per the departmental procedure and as required to ensure stock is available for PS customers.
*To ensure 'best value' procurement whilst taking customer requirements and retention into consideration at times this may require switching from the preferred supplier and raising multiple orders.
*To ensure MHRA permissions are in place prior to raising orders, if necessary, liaise with PS Technical Team. To keep PS staff informed of Purchase orders updates.
*To be responsible for slow moving lines and keeping the PS Manager informed of the situation.
*To recommend / suggest new stock lines to be kept or existing stock levels to be increased to minimise frequent "to follow" items on PS orders.
*To review minimum stock levels set for PS products and maintain/update & add new items as required.
*Review and update ordering patterns for routinely used/fast turnover items for enhanced efficiency and to avoid repetitive frequent ordering.
