Graduate Project Support Administrator
Paying £20k- £25k depending on experience
Based in Glasgow

The Role
We are looking for a Graduate Project Support Administrator to coordinate, manage, track, report and control all project related activity undertaken by our multi-discipline, technical project team. As a Project Administrator, you will establish, maintain and develop project processes, undertake project accounting and provide back office support functions to senior team members.

Responsibilities
The Graduate Project Support Administrator will be responsible for:

*Support of the team including structuring and chairing regular team meetings, recording actions and managing meeting follow ups.
*Collation of all project related documentation and managing project team folders and drives on a central IT system.
*Creation and maintenance of project trackers which are essential for measuring team performance against scope and budgets:
*Coordinating with key team members to secure project tracker inputs
*Establishing appropriate reporting frameworks and data points to enable ongoing performance analysis.
*Recording and maintaining team deployment processes and key milestones:
*Input during process planning;
*Creating and maintaining process diagrams and document templates; and
*Issuing project stage documents and ensuring they are compiled, returned are stored promptly.
*Issuing works instructions and raising purchase orders to external delivery partners - managing response timescales.
*Managing all site access arrangements on a lifecycle basis for team, customers, contractors and 3rd party suppliers:
*Use of venue partner online access portals;
*Creation and management of full out of hours access capability;
*Populating and issuing H&S, RAMS and code of practice compliance statements; and
*Attending site visits to agree site access procedures, points of contacts and escalation paths.
*Uploading system schematics internally and externally and managing approvals process.
*Assist in scheduling works programmes and managing project changes to delivery timescales and budget through a formal change request process.
*Ownership of responsibility for remote system monitoring and maintenance capability in accordance with agreed SLA's:
*Input into network design/build process to secure backhaul/VPN capability;
*Integration of equipment room monitoring platforms - access, power and climate alarms; and
*Liaison with NOC/service engineers to ensure SLA delivery.
*Contribute to network handover packs and management of storage and distribution
*Partner with internal finance team to manage billing and payments:
*Responsibility for tracking and reporting on project financial management.

The ideal Graduate Project Support Administrator will have;

*A track record of academic success - preferable degree qualified in a relevant subject although others may be considered
*Experience with all products in the MS suite - particularly Outlook, Word, Excel and PowerPoint. Experience with Visio and/or MS Project would be useful
*Demonstrable team player and leadership skills
*Prince 2 or at least an interest in completing
*Strong Administrative skills
*Previous Project Support skills

The Graduate Project Support Administrator will work for a a leading provider of shared communications infrastructure to the UK and European wireless sector

Hours of Work
37.5hrs a week
